How Taskmetrics works
Answers grouped by the part of the app they belong to. New here? The getting started guide is a better first read.
Tasks and dates
How do I add a task without touching a menu?
Type it in one line. #project files it, @tag labels it, p1 to p4 sets priority, and a plain-language date like Friday 9am schedules it. What was recognised is highlighted as you type, so nothing is guessed silently.
What is the difference between Inbox, Today and Upcoming?
Inbox holds anything with no project — capture now, sort later. Today shows what is due today plus anything overdue. Upcoming is the days ahead, and you can drag a task onto a different day.
How do recurring tasks behave when I fall behind?
The task advances to its next occurrence when you complete it, and a missed cycle is recorded as missed. You get one live task and an honest history, instead of a pile of stale duplicates to clear.
Can I see a project as a board instead of a list?
Yes — a project reads either way, and the board groups by section. There is also a calendar you can reschedule from by dragging a task to another day, and a Gantt timeline where you drag a task along its row to change its due date.
Does Taskmetrics support sprints?
Yes, on Team. A sprint is a fixed block of time — two weeks, say — that belongs to the whole team and can hold tasks from any of its projects. Plan it from the backlog, move work across To do, In progress and Done, and close it to carry anything unfinished into the next sprint or back to the backlog.
Each sprint has a burndown, and the Sprints page shows the team's velocity. Tasks in Team projects also show their status on the list and the board. Personal projects never appear in a sprint.
Time tracking
How do I track time on a task?
Press the timer on any task, from the list, the board or your phone. A bar stays visible while it runs so you always know something is being recorded.
Can I start on one device and stop on another?
Yes. That is the point of the running timer being part of your account rather than your device — start on your phone at a site visit, stop from your laptop afterwards.
Can I log time I forgot to track?
Yes. Time entries can be added and edited after the fact, and a very short entry is discarded rather than saved as a stray few seconds.
Where does tracked time show up?
On the task, and rolled up in reporting — by project, by tag, by day, and against your estimate where you set one.
Notebook — journal, work notes and life planning
What is the difference between the journal and work notes?
Work notes are for meetings and working notes, with attendees and their own action items. The journal is the private, reflective one, with prompts and its own templates. Both let an action item become a real task rather than a line you forget.
Can I put live data inside a note or entry?
Yes. A block can hold a data view — time by project, tasks completed, estimate against actual — so a weekly review carries the numbers rather than your memory of them.
What is life planning for?
Longer horizons: life areas hold goals, goals hold habits, and habits track streaks. Separately, daily rituals group small repeated things into Morning, Work Day Start, Work Day Closeout and Evening.
Do notes and journals work offline?
The app installs and keeps working through a bad connection, syncing when it returns. Rich editing of journal blocks is currently best on the web app.
Sharing and teams
If I share a project, what can the other person see?
That project, and nothing else. Your Inbox and every other project stay yours. Sharing one project never opens the rest of your account. Inviting people is a Team feature — the people you invite do not need a plan of their own.
Can I assign a task to someone?
Yes, to anyone who is a member of that project. Sharing and assignment are part of Team, and it is the project owner's plan that matters — so someone on the free plan who has been invited to a Team project can still be assigned work in it, and can assign inside it, without paying anything themselves.
Account, plans and data
I forgot my password. How do I get back in?
Choose Forgot password? on the log in page and enter the email you signed up with. The link we send works once, for an hour. If nothing arrives, check your spam folder, then get in touch below.
Why do I have to confirm my email?
It proves the address is yours before anything is shared with it. When someone invites you to a team, project or journal before you have an account, the invitation is waiting on that address, and confirming is what hands it to you. It also means a password reset reaches you and not somebody who mistyped their own address.
What is free, and what is Pro?
Tasks, time tracking, templates and the mobile app are free, with no trial clock. The free plan runs up to 3 active projects as lists and keeps the last 7 days of tracked time and completed work in view. Pro removes both limits and adds the board, calendar and timeline views, the journal, work notes, life planning and reports. See pricing.
What happens when I reach 3 projects?
You are asked to archive one before adding another, and you keep everything you already have — nothing is archived or deleted for you, even if you are already above the limit when it starts applying. Archived projects do not count, so the limit measures what is in flight rather than how long you have been here. Inbox does not count either, because you did not choose to create it.
What does the 7-day history limit actually hide?
Only the looking back. Tracked time and completed work older than 7 days stop appearing in the app's views on a free plan. Nothing is deleted, nothing is capped as you record it, and every export still contains your whole history however far back it goes — so a free account can always get all of its data out, it just reads the older part in a spreadsheet.
How do I install Taskmetrics as an app?
On a phone, use your browser's Add to Home Screen. On a desktop, use the install icon in the address bar. It then runs in its own window.
How do I delete my account?
In the app under More → Delete account, or on the web under Account settings. It is immediate and permanent — your account and all of its content go, with no recovery window, so export anything you want to keep first.
Is my data used to train models?
No. It is not sold either. The privacy policy says so plainly, and the security page describes the protections — including what is not in place yet.
